Our Founder/CEO previously was Director of the ONE campaign across Europe for seven years, responsible for all ONE’s policy, campaigns, digital, media, and advocacy work. He was a key architect of the Make Poverty History Campaign; Movement Director for the anti-slavery organisation Walk Free; and an Executive Director of the UK Labour Party.
The Role
Future Advocacy is looking for a part time Finance, HR and Office Manager. We are looking for a brilliant all-rounder to play a big role in our team, support the development of our business and ensure smooth running of our finances. This is a great opportunity to lead, and contribute to the development of Future Advocacy’s policies and ways of working. It is an exciting time to join the organisation, as our London and Brussels team grows. You will work closely with the Founder/CEO as part of our small, happy, and dynamic team.
Responsibilities will include:
- Finances
- Oversee payroll, staff expenses and payment of external consultants in the UK and EU
- Draft and oversee contracts with new and existing clients
- Manage regular invoicing to clients, and oversee the tracking of staff hours to inform this
- Manage payments to third party contractors
- Work with Future Advocacy’s accountant to ensure timely and accurate accounts, VAT and tax returns etc.
- Streamline Future Advocacy’s finance processes
- Identify opportunities to reduce costs
- HR Management
- Effectively deal with and manage HR queries
- Support new staff orientation, develop offer letters and contracts of employment for new colleagues and explain employee benefits, including pension arrangements
- Develop and update HR policies/finalise a new staff handbook, ensuring they are in line with best practice and the current legislation
- Schedule and undertake exit interviews and related activities, when required
- Manage annual leave and sickness absence recording
- Inform employees of their rights and entitlements and keep them up to date on any changes that are made
- Update contracts for team members
- Support recruitment as and when required providing support on job descriptions, advertisements, right to work eligibility and appointments (both in the UK and abroad), initial screening of applicants, attending interviews or overseeing interview process adjustments
- Develop strong and fair recruitment processes that encourage applications from a diverse range of candidates
- Act as GDPR lead and oversee data protection and privacy
- Office Management and Executive Assistant Tasks
- Manage office space requirements, including liaising with shared work space managers on renewals
- Manage staff equipment, overseeing the ordering of new equipment as necessary (e.g. laptops and related equipment for new starters) and maintaining records
- Support management of software and programmes and related licences
- Coordinate Future Advocacy’s insurance policies (e.g. for travel, equipment etc.)
- Provide Executive Assistant support to the CEO (e.g. occasional diary support, travel itineraries, hotel bookings etc.)
- Rationalise and secure passwords
- Other tasks, as required.
Skills and Experience
We are looking for an experienced individual with skills in HR, finance and office management, a ‘can-do’ attitude and flexibility to work with a growing team.
You will have all, or very nearly all, of the following:
- Excellent attention to detail
- 4 years or more of relevant experience
- A strong track record of HR management and staff policy development
- A strong track record of managing finance for a small or medium organisation
- A strong track record of overseeing contracts
- A strong track record of providing executive support
- Excellent IT skills with an ability to use/quickly learn to use Google Workspace tools
- Excellent written and verbal communications skills
- Ability to work independently and as part of a team, both remotely and in person
- Enthusiasm, flexibility and ability to manage competing priorities
- An “all hands on deck” attitude and willingness to juggle various tasks from admin to drafting policies
- French language skills would be an advantage (as well as fluent English)
Terms and Conditions
Salary: £42 – £47k pro rata (depending on skills and experience) + annual bonus
- Part time 14-21 hours per week – can be worked flexibly
- 6% employer pension contribution
- Location: London (combination of in-person and home working – this is flexible)
